Placemaker Application – Privacy Policy

  1. Who We Are

ID Consulting Pty Ltd ACN 084 054 473 (trading as “.id”, “we”, “our” or “us”) collects, holds, uses and discloses personal information through our Placemaker Application and related online services.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

  1. Collection Notices

Where appropriate, we provide a collection notice at or before the time we collect personal information from you, or as soon as practicable afterwards.

This Privacy Policy is a general statement of how we handle personal information. It is not intended to replace any specific collection notice that we provide in connection with a form, login, support request or other interaction.

  1. What Personal Information We Collect

The personal information we collect depends on how you interact with us and the Application, but may include:

  • account and identity information, such as your business email address, first name, last name, organisation, role or similar account details;
  • information provided by your organisation or its administrators to provision, manage or support your access to the Application;
  • support, enquiry and correspondence information, including the contents of messages you send to us and records of support interactions;
  • technical, device and usage information collected through cookies, analytics and similar technologies, such as IP address, browser type, device information, session information, pages viewed, features used and interaction events; and
  • any other information you choose to provide to us.

Placemaker is not intended to store sensitive personal information, and you should not provide sensitive personal information through the Application unless we have expressly agreed otherwise.

  1. How We Collect Personal Information

We collect personal information directly from you, from your organisation or its administrators, from your use of the Application, and from service providers who assist us to operate and support the Application.

  1. Why We Collect, Hold and Use Personal Information

We collect, hold and use personal information to:

  • provide, administer and support access to the Placemaker Application and associated services;
  • authenticate users, manage accounts and maintain service security;
  • respond to enquiries, investigate issues and provide support;
  • understand how the Application and our services are used and improve them, including through aggregated or de-identified usage analysis where practicable;
  • send requested publications, resources and service-related communications;
  • where permitted by law, send information about our services, publications or events; and
  • comply with legal and regulatory obligations.

We do not sell personal information.

  1. When We Disclose Personal Information

We may disclose personal information to:

  • our service providers who help us operate the Application and our business, including hosting, authentication, analytics, email, CRM, support and IT service providers;
  • the Client organisation and its authorised administrators where reasonably necessary to provision, manage, secure or support user access;
  • our professional advisers, such as legal, accounting, audit and insurance advisers; and
  • courts, regulators, law enforcement agencies or other third parties where required or authorised by law.

We only disclose personal information where it is permitted under applicable privacy law and for purposes consistent with this Privacy Policy or any applicable collection notice.

  1. Overseas Disclosures

Some of our service providers may store or process personal information outside Australia. These may include customer relationship management, support, analytics, cloud hosting or related service providers.

For example, we may use providers such as HubSpot to manage customer support interactions and related service records, and some information handled through those systems may be stored or processed in the United States or other countries.

Where we disclose personal information to overseas recipients, we take reasonable steps to ensure that the information is protected through contractual, security and governance measures that are appropriate in the circumstances.

  1. Direct Marketing and Service Communications

We may send you service, administrative and account-related communications about the Application and related services. These communications may include notices about account access, service operations, support matters and other information relevant to your use of Placemaker.

Where permitted by law, we may also send you information about our services, publications, resources or events where you would reasonably expect this or where you have requested it.

You can opt out of marketing communications at any time by using the unsubscribe link in our messages or by contacting us at privacy@id.com.au. You cannot opt out of essential service or administrative communications while you remain an authorised user of the Application.

  1. Cookies, Analytics and Telemetry

We use cookies and similar technologies to operate the Application, remember preferences, maintain security, measure performance and understand how the Application is used.

We may use analytics and telemetry tools to understand user behaviour within the Application and to improve the service. Depending on the tool used, this may include information such as page views, clicks, navigation paths, session activity, device information and other interaction data.

Where practicable, we use aggregated or de-identified information for product improvement and reporting purposes.

You can usually control cookies through your browser settings. If you disable cookies, some features of the Application may not work as intended.

  1. Security, Retention and Data Breaches

We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. However, no system is completely secure.

We keep personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, unless we are required or authorised by law to retain it for longer. When information is no longer needed, we take reasonable steps to delete or de-identify it.

If we experience a data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) where required by law.

You may request access to, or correction of, the personal information we hold about you by contacting us at privacy@id.com.au.

We may need to verify your identity before responding to a request.

  1. Complaints

If you have a concern or complaint about how we handle your personal information, please contact our Privacy Officer. We will acknowledge and respond within a reasonable time.

If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
